QUANTRON IT LLP ("Company", "we", "us") is a Limited Liability Partnership registered in India under the LLP Act, 2008, having its principal place of business at Ranchi, Jharkhand, India. We are committed to protecting the privacy of all users of our platform at quantron.in ("the Platform").

This Privacy Policy is published in compliance with the Information Technology Act, 2000 (and the IT Rules on Sensitive Personal Data and Information, 2011) and the Digital Personal Data Protection Act, 2023 (DPDP Act). By using the Platform, you consent to the collection and use of your information as described in this policy.

2. Information We Collect

We collect the following types of personal data from Organization Administrators and portal users:

  • Full name, date of birth, and gender
  • Phone number (used for login and OTP verification)
  • Email address
  • Business / residential address
  • KYC documents (PAN, Aadhaar, business registration proof) for account verification
  • Bank account details (for payment disbursements where applicable)
  • Profile photograph
  • Organization and team structure details
  • Subscription and payment transaction records
  • Device information, IP address, and usage analytics
  • Messages and communications sent through the Platform

3. Consent

In accordance with the DPDP Act, 2023, your consent to the processing of your personal data is:

  • Free — given voluntarily, without coercion
  • Specific — for the purposes stated in this policy
  • Informed — you are made aware of what data is collected and why
  • Unconditional — not bundled with unrelated consent
  • Revocable — you may withdraw consent at any time (see Section 9)

By registering on the Platform, you provide your free and informed consent to data processing as described herein.

4. How We Use Your Information

We use your personal data to:

  • Provide, maintain, and improve the Platform and its services
  • Verify your identity and KYC during registration
  • Process subscription payments and generate payment receipts
  • Send OTP verification codes, payment reminders, and service notifications
  • Resolve disputes and troubleshoot platform-related issues
  • Detect and prevent fraudulent or unauthorised activity
  • Comply with legal and regulatory requirements under applicable Indian law

5. Data Sharing

We do not sell your personal data to third parties. We may share your data with:

  • Authorised payment gateway providers compliant with RBI guidelines under the Payment and Settlement Systems Act, 2007, for processing subscription transactions securely.
  • Communication service providers for sending OTP codes and platform notifications (e.g., Telegram messaging service).
  • Your organization's designated members, who can view data within their own organization scope on their deployed instance.
  • Law enforcement or government authorities when required by applicable Indian law or a valid court order.

Each organization's data is stored in isolated databases. Data is never shared between organizations.

6. Data Security

We implement reasonable security practices as required under the IT (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, including: encrypted data transmission (SSL/TLS), secure server infrastructure hosted on Railway Cloud, hashed passwords (bcrypt), role-based access controls, and isolated databases per organisation. However, no method of electronic storage or transmission is 100% secure. You accept this inherent risk when using the Platform.

7. Data Retention

We retain your personal data for as long as your account is active or as needed to provide services. Upon account deletion or subscription cancellation, your data will be retained for 30 days (to allow reactivation), after which it may be permanently deleted. Certain data (payment records, KYC documents) may be retained for longer periods as required by applicable tax, accounting, or other legal obligations.

8. Data Deletion

You may request deletion of your account and personal data by contacting quantronv2@gmail.com with the subject line "Account Deletion Request". We will process your request within 30 days, subject to mandatory legal retention requirements.

9. Your Rights as a Data Principal (DPDP Act 2023)

Under the Digital Personal Data Protection Act, 2023, you (the "Data Principal") have the following rights:

  • Right to Access — obtain a summary of personal data held about you and its processing purpose
  • Right to Correction — request correction of inaccurate or incomplete data
  • Right to Erasure — request deletion of personal data, subject to legal retention obligations
  • Right to Nominate — nominate an individual to exercise your data rights in the event of death or incapacity
  • Right to Withdraw Consent — revoke consent at any time; this may affect your ability to use the Platform
  • Right to Grievance Redressal — lodge a complaint with our Grievance Officer; unresolved complaints may be escalated to the Data Protection Board of India

10. DPDP Act 2023 — Data Fiduciary Obligations

QUANTRON IT LLP acts as a Data Fiduciary under the DPDP Act, 2023 with respect to data collected from Organization Administrators and portal users. Our obligations include:

  • Collecting data only for specified, lawful, and necessary purposes
  • Ensuring completeness, accuracy, and consistency of data
  • Implementing appropriate technical and organisational security measures
  • Notifying data principals and the Data Protection Board in case of a data breach
  • Erasing personal data when its purpose has been served or upon consent withdrawal

If your grievance is not resolved to your satisfaction by our Grievance Officer, you may file a complaint with the Data Protection Board of India as provided under Section 27 of the DPDP Act, 2023.

11. Cookies & Analytics

The Platform may use cookies and similar technologies to enhance your experience and analyse usage patterns. You may disable cookies in your browser settings, though some features may not function correctly without them. We do not use cookies for cross-site tracking or third-party advertising.
